How we work
Three levels of help, depending on where you are
Most clients start with a discovery call and pick a package once we know the guest count and the venue situation.
Partial planning
You have the venue and a vendor or two, we fill the gaps and take over six weeks out.
Day of coordination
You plan it, we run it. Includes a walkthrough, vendor confirmations and eight hours on site.
Design and styling only
Color palette, table design, florals direction and a rendered layout you can hand to any planner.
Rental sourcing and delivery
Tables, linens, glassware, lounge furniture and lighting, coordinated and returned by us.
Corporate and holiday parties
Invoiced to your company with a single point of contact and a post event expense summary.
Who you are hiring
A two planner studio, not a booking agency
Copper Lantern is Renee Alsobrook and Tomas Vega. We took twelve parties in our first year out of a spare bedroom and now produce around forty a year from a studio on Cannon Street. One of us is at every event we book, which is why we cap our calendar rather than hiring out.

FAQ
Common questions before booking
How far in advance should I book?
Six weeks is our minimum for day of coordination and three months for full planning. Spring and December book out earliest, usually five to six months ahead. If your date is closer than that, call us anyway, we sometimes have a hold that falls through.
Do you charge a percentage of my total budget?
No. We quote a flat fee based on guest count and scope, so our price does not go up when your budget does. Rentals we source for you are billed at cost plus a stated 18 percent handling fee.
What happens if it rains at an outdoor event?
Every outdoor event we plan has a written rain plan and a tent hold placed by a decision deadline, usually 72 hours out. You approve the deadline and the tent cost up front so there is no scramble that week.
Can you work with vendors I have already hired?
Yes, and we prefer it when you have people you trust. We take over communication about four to six weeks out, confirm their arrival times and scope in writing, and give them one number to call on the day.
