What is a Newsletter?

A newsletter is a regular email, or sometimes printed bulletin, sent on a schedule to subscribers with news, tips or updates from a business or writer.

A newsletter is a regular publication sent to people who signed up for it. Today that nearly always means an email that arrives on a set rhythm, weekly or monthly, with news, useful tips, new products or stories from the business. Unlike a one-off sales email, it is something people subscribe to because they expect to enjoy or use it.

How a newsletter is put together and sent

Visitors join through a sign-up box on your website, at checkout or in person. Their addresses go into an email platform, and many platforms send a confirmation email first so only real, willing addresses are added; this is called double opt-in. Each issue is written in the platform's editor, previewed on desktop and mobile, then scheduled. The platform handles the unsubscribe link, which marketing email legally needs in most countries, and reports who clicked what.

A newsletter is one format within email marketing. Some businesses also publish past issues on their site or on platforms such as Substack or Beehiiv, which turns each issue into a page that can be found later.

What a good small-business issue looks like

A neighbourhood bookshop sends a monthly email with three staff picks and a sentence on why each person loved the book, dates of upcoming author events with a link to reserve a seat, and a short note on what is new in store. It is easy to read in a minute, has a clear reason to click, and sounds like the people behind the counter. Subscribers come in asking for "the one from the newsletter".

Is a newsletter right for your business?

A newsletter suits businesses with something new to say regularly: seasonal menus, new stock, events, advice that changes with the time of year. If you would struggle to fill an issue every month, a few well-timed automated emails will do more for you. Committing to a schedule you cannot keep tends to produce one enthusiastic issue followed by silence, which makes the next email feel like spam.

Common newsletter mistakes

  • A sign-up box with no promise. "Subscribe to our newsletter" says nothing. Say what arrives and how often.
  • Cramming everything in. Ten sections and five calls to action mean readers act on none of them.
  • Adding people without consent. Customers who bought once did not necessarily agree to a newsletter, especially under GDPR.
  • Irregular sending. Long gaps make people forget they subscribed, and they mark the next issue as spam.
  • Ignoring mobile. Wide layouts and tiny text are hard to read on a phone, where many emails are opened.
