Press Pitch Email Template

Journalists and editors decide in seconds whether a pitch is worth reading. Tell the tool what is new, why it matters to their readers, your proof and a link, and it writes four short pitches built on different angles: a news hook, a data story, a founder story and an expert comment. Each has a subject line and a word count, and you also get a follow-up note.

How it works

  1. Enter your name and business, the name of the person you are writing to and their outlet.
  2. Say what is new in one or two sentences and why it matters to that outlet's readers.
  3. Add one number or result as proof, and a link to your site or press page.
  4. Pick the angle that fits, edit it to sound like you and send it. Use the follow-up note a week later if you hear nothing.

What a journalist needs from you

A journalist is looking for a story their readers will care about, with a person to talk to and facts to check. Your pitch should hand them all three without making them dig: what happened, why it matters now and how to reach you.

Write for their audience, not for yours. 'Local bakery opens third shop' means little to a business reporter, while 'bakery created 12 jobs in a year when two others closed' might. The same news can fit different outlets with a different reason it matters.

Choosing an angle

The news hook suits launches and openings. The data story suits when you have a number that shows a trend, such as how customers behave. The founder story suits human-interest sections, and the expert comment suits reporters working on a topic you know well.

Having more than one angle ready lets you pitch the same news to different outlets without sending the same email. Change the opening and the reason it matters, and keep the facts the same.

Make it easy to say yes

Put everything a journalist may need on a single live page: a short description, quotes, a few images and your contact details. A link to that page in the email saves a round of back and forth.

Respond quickly when someone replies. Reporters work to deadlines, and a pitch that gets an answer in an hour is more likely to be used than one that gets an answer tomorrow.

Tips

Frequently asked questions

How long should a press pitch be?

Under about 150 words. The tool counts the words in each version and warns when one runs long. If you need more space, put the extra detail on a page and link to it.

What makes a pitch newsworthy?

Something is new, timely, unusual or useful to the outlet's readers. A launch with a real result, a local story or a surprising number tends to work better than a general announcement.

What is the difference between the four angles?

The news hook leads with the announcement. The data story leads with a number. The founder story leads with the person behind the business. The expert comment offers your view on a subject the journalist covers. Choose the one that fits the recipient.

When should I follow up?

Wait about a week, send one short follow-up and stop. The tool provides a note that offers images, numbers or a quick call and makes it easy to say no.

Is there a guarantee of coverage?

No. Journalists get many pitches and cover only what suits their readers and their schedule. A clear, relevant, short email improves your odds, but no template can promise a story.
