Receipt Number Generator
Pick a prefix, choose whether to include the year or the year and month, set how many digits the counter has and the number to start from, and this tool lists the next receipt or invoice numbers in order. It is meant for small shops, freelancers and studios who write receipts by hand, in a spreadsheet or in a simple invoice template.
What you enter
- Prefix
- Date part
- Year
- Month
- Separator
- Counter digits
- Next number
- How many to list
How it works
- Type a short prefix, such as R for receipts or INV for invoices. Leave it blank if you want numbers only.
- Choose whether to add the year, the year and month, or no date part.
- Set the counter width (4 gives 0001) and the next number in your sequence.
- Choose how many numbers to list and copy them into your receipt book, spreadsheet or template.
Why sequential numbers matter
A receipt number is how you, your customer and anyone checking your books find one transaction among thousands. When numbers run in an unbroken sequence, a missing number stands out immediately, which helps you notice lost paperwork and shows that no sales were left out.
Random or date-only numbers make that check impossible. Two receipts on the same day can clash, and a gap in the record cannot be told apart from a quiet day. A simple counter avoids both problems.
Building a format you will not regret
Decide the format once and keep it. Changing from R-0001 to 2026/R/1 halfway through a year makes searching and sorting harder. If you need to change, do it at the start of a new year and note the change in your records.
Keep the number short enough to read over the phone and type without mistakes. A prefix of one to three letters, a four-digit year and a four or five-digit counter is plenty for most small businesses. Adding the month is useful if you restart every month, and only then.
Tips
- Never reuse or skip numbers on purpose. An unbroken sequence makes your records easy to check and shows nothing is missing.
- If you void a receipt, keep the number and mark it void instead of handing the number out again.
- Pad the counter with zeros so numbers sort correctly in a spreadsheet: R-0010 sorts after R-0009, but R-10 sorts before R-9.
- If you restart the counter each year, include the year in the number so 2026 and 2027 receipts never clash.
- Use different prefixes for different documents, such as INV for invoices, R for receipts and CN for credit notes.
Frequently asked questions
What is a good receipt number format?
A short prefix, an optional year, and a zero-padded counter, joined by a dash, such as R-2026-0001. It is unique, sorts correctly and tells you at a glance what kind of document it is and which year it belongs to.
Should receipt numbers restart every year?
Either way works if you are consistent. If the counter restarts each year, include the year in the number. If you never restart, the year is optional and the counter simply keeps rising.
How many digits should the counter have?
Enough that you will not run out within the period. A shop issuing about 30 receipts a day writes roughly 11,000 a year, so 5 digits is safer than 4 if the counter restarts yearly.
Can I start from a number other than 1?
Yes. Type your next number in the start box. If your last receipt was R-2026-0147, start from 148 and the list begins with R-2026-0148.
Are there rules for how receipts must be numbered?
Some places require invoices to have unique sequential numbers. This tool only builds the format. Check your local tax rules, or ask an accountant, for what applies to you.
